1. About these terms
These terms are between Business Game Changer Magazine, Limousin, France ("we") and the business that creates an InvoiceHawk account ("you"). InvoiceHawk is for businesses, not consumers.
2. The service
InvoiceHawk reads the supplier invoices you send it, compares each line with the prices you agreed and the prices you paid before, alerts you to differences, and helps you draft claim letters.
- AI reads invoices and drafts letters. The checks themselves are fixed rules. Reading can be wrong: invoices that don't add up are held for you to review, but you should check alerts and letters before acting on them. A letter is only sent when you choose to send it.
- InvoiceHawk doesn't give legal, tax or accounting advice, and it doesn't guarantee that any supplier will pay anything back.
3. Free audit, plans and payment
- New accounts get a free audit, without a card: up to [25] invoices within [14] days of sign-up, whichever comes first. It shows the totals found and one finding in full. Seeing every finding, claim letters, alerts and the checking of new invoices need a paid plan.
- When the free audit closes without a paid plan, the account stays available, read-only, for 30 days, and is then deleted with its data.
- Prices and limits are shown on our website and in Settings, excluding VAT. When you subscribe, you give your business name and UK VAT number; our invoices are issued under the reverse charge, so you account for the VAT.
- Plans renew monthly through Stripe until cancelled. You can change plan or cancel at any time in Settings. A cancellation takes effect at the end of the period you've paid for.
- If you go over your plan's monthly invoice allowance, we keep storing your invoices, but their checks pause until the next month or until you upgrade.
4. Your responsibilities
- Only send us invoices and data you're entitled to share, and keep your sign-in details safe.
- You're responsible for the claims you make to your suppliers and for what your users do in your account.
- Don't use the service unlawfully, try to break its security, or overload it.
5. Your data
Your data stays yours. We process it only to provide the service, as described in our privacy policy, which includes our role as your processor. You can export it or delete your account at any time. After a cancellation, or when a free audit closes without a paid plan, we delete your data 30 days later.
InvoiceHawk is not a legal archive. You must keep your own records: HMRC asks VAT-registered businesses to keep VAT records, including purchase invoices, for at least 6 years.
6. Availability and changes
We aim to keep InvoiceHawk available and working well, but can't promise it will be uninterrupted or error-free. We may change the service. We'll give at least 30 days' notice of price increases or changes that reduce what your plan includes.
7. Liability
Nothing in these terms limits liability that can't legally be limited. Otherwise, we aren't liable for indirect losses, lost profits or lost savings, and our total liability in any 12 months is limited to the fees you paid us in that period.
8. Ending the agreement
You can cancel at any time. We may suspend or close an account that breaks these terms or doesn't pay, with notice where reasonable.
9. Law
These terms are governed by the law of [England and Wales], and its courts have jurisdiction [to be confirmed].
